Website Design with E-Commerce

Hi Dominic,

Thank you for your enquiry and for taking the time to meet to discuss an e-commerce site for Stermat.


Based on what we talked through, my recommendation is to move forward with an initial site built on WordPress. This gives you exactly what you need right now — customers can browse products, submit requests and pay once approved — while also keeping us in a strong position to link in an EPOS system later if you choose to add one. In other words, we can start lean without closing off future integration options.

Proposed Services

1. Storefront & Request Workflow

  • Build a pilot e-commerce site in WordPress + WooCommerce.

  • Customers can browse products, but instead of checking out instantly they’ll click “Request to Purchase”.

  • Each request captures the exact product, customer details, delivery postcode and notes so you can review availability and delivery options before committing.


2. 24-Hour Approval and Payment

  • Set up an approval step where you have up to 24 hours to accept or decline each request and confirm final pricing (including delivery).

  • When approved, the customer receives a secure online payment link for that specific request. No payment is taken until you’ve confirmed you can supply.


3. Product Catalogue Setup

  • Create the product catalogue layout (images, descriptions, “from £…” price guidance, delivery notes) to present the range professionally without needing live stock tracking.

  • Initial product population: up to 20 products will be added as part of the build. Product information can either be provided individually or via a completed CSV template. Additional products beyond the first 20 can be added by Stermat after handover, or quoted separately if you’d like Bridge Digital UK to handle upload.


4. Look & Feel

  • Style the site to match Stermat branding (logo, colours, typography).

  • Ensure it’s responsive and trustworthy on desktop, tablet and mobile.


5. On-Site SEO Setup

  • Add core SEO foundations: meta titles, meta descriptions, heading structure (H1–H5), alt text for images, and basic keyword alignment in page content so the site is indexable and readable to search engines.


6. Handover & Support

  • Provide an admin walkthrough showing how to review new requests, approve/decline within 24 hours, send payment links and mark fulfilled orders.

  • Include one month of post-launch support for tweaks, wording changes and minor functional adjustments while the process is tested live.

Project Cost

£1,570 fixed project fee (one-off). I am not currently VAT registered.

Annual Running Costs (from Year 2)

1. Website hosting & technical management – £120/year
This covers secure hosting of the website, routine platform-level updates, security monitoring, and keeping the site online and accessible. It also includes basic technical support for uptime-related issues (server availability, domain/SSL routing, etc.).


2. Optional support & change requests – ad hoc / as needed
After the initial post-launch support period, any new features, content changes, layout changes, new products, process changes to the request/approval flow, or additional integrations will be quoted separately on a case-by-case basis. This keeps ongoing costs flexible and lets you scale only when the model proves itself.


3. Third-party services (if introduced later)
If you decide in future to add paid integrations such as advanced quote management, specialist payment gateways, delivery calculators, or EPOS/stock sync, those tools sometimes carry their own subscription or transaction fees. These are not included in the hosting cost and would only be added if/when you choose to adopt them.


There are no other fixed monthly fees from me at this stage.

Proposed Timeline

Proposed Start date: 3rd November 2025


Stage 1 – Website Design and Build
Starting 3rd November 2025, Bridge Digital UK will design and build a fully working pilot website using your branding, logo and supplied content (including information gathered via the initial onboarding questionnaire).


This build will include:

  • Product catalogue pages

  • “Request to Purchase” workflow (customer requests instead of instant checkout)

  • Admin-side flow for reviewing and approving a request within 24 hours, and sending a pay link

  • Mobile, tablet and desktop optimisation


Initial product setup: up to 20 products will be added as part of the build. Product details (title, description, price guidance, images, delivery notes etc.) can either be provided individually for manual entry, or supplied in a completed CSV file for import. Additional products beyond the initial 20 can be added by Stermat directly after handover, or quoted separately if you would like Bridge Digital UK to handle this.


Stage 2 – Amendments
We will then refine content, layout, messaging and user journey based on your feedback.
There is no fixed limit on amendment rounds during this phase; we will continue iterating until the site meets the agreed requirements and you’re comfortable using it operationally.


Stage 3 – Search Engine Optimisation (SEO) and Finishing Touches
Once the site layout and content are approved, Bridge Digital UK will apply on-site SEO best practice, including:

  • Page titles (meta titles) and meta descriptions

  • Heading structure (H1–H5)

  • Alt text for images

  • Basic keyword alignment in on-page copy

  • Clean, consistent call-to-action language

This stage also covers final polishing of microcopy, error states, button labels, and any wording around the 24-hour approval / payment process so it’s clear to customers.


Stage 4 – Handover and Support
When you sign off the site, it will be published and connected to your domain.
Bridge Digital UK will:

  • Submit the site to Google for indexing

  • Host a handover video call to walk through how to review incoming requests, approve/decline them, and send payment links

  • Provide one month of post-launch support for adjustments, wording tweaks, and minor functional changes as you start taking real requests

After that first month, ongoing changes can be handled on an as-needed basis.

Future Website Support

Bridge Digital UK offers flexible support options to build long-term partnerships.
You may opt for:

  • Pay-as-you-go support, charged at an hourly rate with capped pricing for peace of mind.

  • Pre-agreed blocks of support hours or fixed-term support plans.

Next Steps and Terms

  • If you are ready to proceed, please sign and return this proposal. A 50% deposit invoice will then be issued to confirm the project booking.

  • Cancellation policy:

    • Before the start date: 50% of deposit refunded

    • After the start date: deposit non-refundable

    • If cancelled by Bridge Digital UK at any stage: full deposit refunded + 10%

  • Final balance due on project handover.
